What is the average time frame for a Fast Track Implementation?
Generally, companies can go live in NetSuite with a fast-track implementation process in 90 to 120 days. However, the timeline can vary depending on several factors, such as the complexity of the implemented processes and company size. Smaller businesses with complex processes may require regular implementation, while large companies with simpler processes may qualify for the fast track.
Who is best suited for Fast Track?
Basically, if your business requires fewer processes in NetSuite and both teams are on the same page with project plans and anticipations. There’s no margin for error – the implementation team and resources must be actively involved. Any additional elements implemented during setup may have a significant impact on timeframes.
Why would a company opt in for Fast Track?

Most common reason is “Time,” You can easily implement NetSuite in 90 to 120 days, which is fast compared to regular implementation, which requires over 120+ days. Other reasons include

  • Divestiture
  • Lack of resourcing
  • Speculated business opportunities
  • Departure of existing resources. 
  • Business process change
  • Many more…
Is there a risk of losing essential features if I opt for Fast Track?
It’s tough to answer this question definitively since so much depends on your particular needs. NetSuite already offers an abundant selection of standard tools and functions – with Fast Track, you’ll gain time! And while certain complex demands may be considered as lost functionality in the grand scheme of things, we can identify these during our initial assessment calls.
Who makes the final decision on which Implementation method to pursue?
At the conclusion of our discovery session, we provide the client with a recommended approach. If they choose to move forward differently than we have suggested, our team will make sure to clearly define any associated risks upfront. It’s important that everyone is on the same page when it comes to the potential consequences of going against our original advice.
How long are the Discovery sessions?
Generally there is no actual count on the sessions, during our discovery sessions, we do quite a bit of hard work here so we dont repent it later. During this stage we like to know about your business more than anything. We will fit NetSuite puzzle in later part of our discovery sessions.
Do I need to worry that you automatically suggest the most expensive services?
We take a long-term approach with all of our clients. If we prioritize short-term monetary gain over the success of your project; then it’s probably best that you terminate our agreement. We’re here to do what’s best for you, not to make a quick buck. That’s why we provide honest and informed recommendations every step of the way.
What should I be aware of when implementing Fast Track?

It’s always a good idea to stick with the core NetSuite functionality as much as possible. This approach maximizes the efficiency of your business operations while minimizing the need for additional customizations. Doing so ensures that you make the most of the Fast Track implementation. 

Others include:

  • Last minute changes; 
  • Stalling necessary decisions for later stage
  • Disengagement during the implementation cycle
  • Micromanaging implementation procedure
  • Expecting that the new system will function exactly as your legacy ERP; and understanding that replicating processes, not software designs, is key.
What makes fast track successful?

The most effective implementations we’ve seen come about when everybody is fully committed and determined to go live as quickly as possible. Ensuring that all stakeholders are engaged and on board with the project is a must for success. Other requirements include:

  • Having clear requirements from the start; 
  • avoiding any large, unexpected changes during implementation; 
  • smoothing out processes that are subject to change due to the new ERP system; 
  • and meeting at least 80% of all deadlines set by both teams. Keeping up with agreed-upon timelines helps to ensure that the remaining 20% of tasks are completed without issue.
Can I still use Fast Track if my organization has multiple legal entities?
It depends. If all of the subsidiaries need to adhere to the same set of requirements, then yes – Fast Track is still an option. However, it’s likely not a viable solution if the various entities have divergent needs. In that case, it’s best to explore other options.
How long does a typical Regular Implementation take?
The timeline for a Regular Implementation can range from four months to two years, depending on the organization’s size and complexity, the number of resources available, client availability and engagement. We understand that our clients are keen to get their projects off the ground as soon as possible, so we strive to make the process as efficient as possible without compromising results.
What project methodology do you use for Regular Implementation?
We typically deploy a hybrid of agile and waterfall approaches. However, we remain flexible to accommodate the specific needs of the client. We create a project plan that is beneficial for both parties and constantly adjust it to ensure successful implementation.
What is the primary distinction between Fast Track and Regular Implementation?
Fast Track is designed for quick, simple implementation and does not factor in complexities or business scenarios. It focuses more on time and the minimum viable product. On the other hand, Regular Implementation requires a much deeper consideration of business components such as timelines, expectations and priorities.
Can each legal entity be implemented separately?

Yes, some companies prefer to do so. There are several advantages to breaking out the implementation in this manner: it reduces the burden on resources; 

  • It allows the results to be validated by the first entity to go live; 
  • And it makes it easier for other entities to follow suit. 

It’s a great way to streamline the process and ensure that all entities are properly accounted for.

What kind of resources will Coherent ERP provide for our project?
We typically assign experienced personnel who are familiar with your industry. If we have no prior experience in the relevant area, we will be transparent with you and make sure there is no miscommunication. But in every implementation, there is always something we have not encountered, which is quite normal.
What qualities should I look for in an ERP implementation partner?

When choosing an implementation partner, you should consider several factors. Here are a few:

  1. First, the partner should hire the right resources for the job, and you should be given an opportunity to interview them. 
  2. Second, they should set clear expectations from the start to avoid any misalignments. 
  3. Third, a good partner will provide you with in-depth information rather than resort to a “sales” approach.
  4.  Fourth, pricing and expectations should be clearly outlined. 
  5. Finally, consider whether you need an “issue solver” or a consultant-style partner to help you through the process. There are many other criteria to consider, but these should serve as a good starting point.
Is there a way to speed up the process under pressure?
It is possible, but it all depends on the original scope of the project. We cannot provide a miracle solution in NetSuite; there is no ‘quick fix’ button.
Can Coherent ERP partner with the implementation partner we have already hired to help us reach our desired outcome?
In most cases, we suggest you continue to work with your current provider, as they already possess extensive knowledge of the business. In certain instances, we may be able to contribute, but we will need to evaluate this further.

What factors are considered when scoping a project and estimating the effort required?

When scoping a project and calculating effort estimates, we consider several factors including

  • The modules to be implemented
  • Resources available
  • Amount of time needed, the go-live date, and 
  • Any compliance requirements that must be met. 
  • Any additional customization needed to meet business needs

All of these components are important for providing a comprehensive overview of the project and ensuring that the implementation is done successfully.

Are you able to take on a larger portion of the implementation work and related duties, given we lack resources?
No, this is not something we recommend. It would be a huge risk for any company to pursue this approach. This is a collaborative effort and requires both teams to work together effectively; as we are not as familiar with your business as you are. There will be a significant amount of work from both sides, but this is the only way to ensure a successful implementation.
What does the post-go live process look like?
Once we have gone live, this is where the real work begins. Both teams have put in a lot of effort to reach this point and now it is time to resolve any issues quickly. This period is referred to as ‘hyper care’ and our priority is to resolve any problems in the shortest time frame possible.
What makes an implementation successful?

Several factors contribute to a successful implementation: 

  • Setting realistic expectations from both sides,

What are some of the dos and don’ts during NetSuite Implementation?

Do your due diligence: We strongly recommend that you perform adequate due diligence before choosing your NetSuite Implementation partner. 

Focus on quality, not quantity: It is easy to be drawn to marketing gimmicks that promise overnight implementation or budget launch, but we urge that you consider the long-term negative impact of poor implementation.

Set the right expectations: Ask as many questions as you need to, but make sure that before your sign on the dotted line, you know exactly what you are in for.

How long does NetSuite Regular Implementation take?
That varies from client to client, but in recent times, we have completed regular implementation in a time period of anywhere from 3 to 6 months. If you are looking for something faster, you can check out our Fast Track Implementation.
Do I need to have my own staff to help with NetSuite Implementation?
Not directly, no. But along the way, we will need users from specific roles to share information with us, explain your business’s requirements and specific user requirements, as well as test the final solution before it goes live. All of these will require a certain commitment from your end to expedite the process and help us get it right in as short a time as possible.
How will you work with our vendors, partners, and other third-party organizations?
We follow a process wherein you are at the core of everything, and all third-party interaction happens through you. This means that you will play a crucial role in bridging the context gap between us and your partner organizations, and will be responsible for helping us tune the solution to their needs.
What makes a NetSuite Implementation successful?

While there are no magic bullets or hard and fast rules for successful NetSuite Implementation, the long story short is that there are 3 key indicators to watch out for:

 

  1. Is your final solution what you want it to be? Or is it something that your partner is pushing down your throat?
  2. Did your timeline and costs roughly match the initial expectations you had?
  3. Is your implementation partner approachable for any and all troubleshooting, customizations, questions, and training needs?
Can Managed Service handle complex requirements?
Yes, we can manage complex demands without any problem. In fact, we often encounter such requests as part of our managed service offering.
Can we request the same consultant for our managed Services after the initial Implementation process is finished?
Yes, that’s generally best since it ensures a smooth transition and no loss of knowledge. We highly recommend it.
Is it possible to use different resources for our managed Services?
Absolutely! If you feel more comfortable working with new personnel, then, by all means, that’s an option. We’re happy to accommodate your preference.
Do you offer temporary administrative support for day-to-day operations, even if I'm not looking for full configuration or implementation?
Yes, we receive this kind of request from time to time. We’re more than happy to accommodate those needs.
Who should consider taking advantage of NetSuite Managed Services?
Any post-implementation NetSuite customers who are looking to implement additional modules could benefit from our managed Services. It’s the perfect way to make sure your NetSuite system stays up-to-date and functions optimally.
When is it time to consider the Rescue Service?
Before searching for assistance, take a minute to determine if you need help or rescue. Help means extending the capabilities of NetSuite – a service we can definitely provide. Rescue, however, requires us to assess the situation and repair whatever issue is causing the problem. This is something we can do for you, but only after a proper evaluation.
Can Rescue Services guarantee success?
Unfortunately, not always. There are some instances in which the damage is beyond repair and a full reimplementation is necessary. In other cases, we can get the environment back to a stable position. Rescue Services may not be able to address every single issue, as there could be a range of business use cases that prevent us from effectively doing so and Coherent ERP is not a one-size-fits-all solution. But we’ll do our best, but there are no guarantees that all of your NetSuite problems will be fixed. That said, we’ll always do our utmost to try and resolve any issue.
What are the primary challenges associated with Rescue Services?
The most frequent issue is clients expecting a complete resolution to their problems, when in reality some of the more complex cases may only be partially addressed. Additionally, if clients do not provide access to all of the necessary resources, it can significantly impede the process. Lastly, many clients are not willing to commit to a permanent solution for their environment. This can lead to further issues down the line. Ultimately, it’s important for clients to be realistic and aware of the potential risks associated with a Rescue Service. We will always do our best to make sure you’re aware of any potential issues before we start the process.
What's the most challenging part of your rescue mission?
The most challenging part of our rescue mission is identifying the root cause of your implementation problems. Once we’ve identified the root cause, we can develop a roadmap for success.
How long does the rescue process take?
The rescue process is unique for each business. Sometimes you don’t need a rescue; you just need a tune-up. Other times, the process can take months. It all depends on the size of your business, the scope of your project, and the level of commitment from you and your team.
What will you need from me during the process?
We’ll need your help to fix your implementation. We’ll assign you a process and make sure you have the resources you need to succeed. The rescue process requires buy-in from your entire team to be successful.
What if I'm not ready to commit to the rescue process?
Our process requires a commitment from you and your team to be successful. However if your implementing partner knows your business and can provide a workaround for the time being, it may be possible to continue working together. Please contact your implementing partner directly to discuss your options.
Can you work with our existing Implementation Partner?
Yes, we have successfully rescued projects where the client has an existing Implementation Partner. In fact, in many cases, it is necessary to work with the Implementation Partner in order to ensure a successful rescue. However, this question generally should be asked to us as well as implementing partners. Last thing we want is to overstep anyone’s tone.
Why are there so many steps to rescue service?

When Is My Customization Excess?
Less customization beats more customization every time. But if your implementation is slow, it’s excess.
Will My Customization Be Compatible with Future NetSuite Releases?
Yes. We design our customizations to be compatible with future NetSuite releases. We also test new releases to ensure everything still works as expected.
Will Customization Improve My Business Process?
Yes. Our goal is always to improve your NetSuite experience and make your business run more smoothly.
Should I add customization during the implementation cycle?
It depends. You don’t need customization if you’re happy with how NetSuite works. Otherwise, keep it minimal to avoid complications.
How do I know I need customization?
You rarely need customization. Sometimes there’s a more straightforward way to achieve your goal. We’ll find the best solution for your business.
